Getting the Most Out of Chemical Sample Requests
A well-prepared sample request saves weeks. Here's how to write clear specifications and manage sample testing efficiently.
Requesting samples from chemical suppliers sounds straightforward, but a poorly structured sample request wastes everyone's time. Suppliers receive hundreds of sample requests, many too vague to act on. A clear, professional request gets prioritised, lands faster, and produces useful data. Here's how to do it right.
Specify the Grade and Intended Use
Chemical suppliers often produce the same substance in multiple grades (technical, pharmaceutical, cosmetic, food) with different purity specifications, particle sizes, or functional additives. Your sample request must specify the grade โ 'cosmetic grade glycerin' and 'technical grade glycerin' may have the same CAS number but are not interchangeable.
Also include your intended application. A supplier who knows you're formulating a rinse-off hair conditioner can send the most relevant TDS and flag compatibility concerns before you spend weeks testing an unsuitable material.
Include Your Target Specifications
Attach your internal specification sheet, or at minimum specify the key parameters you'll be testing against:
- Purity minimum (e.g., โฅ99.5% by GC)
- Physical form (liquid, powder, flake, pellet)
- Colour limit (e.g., APHA โค10 for clear liquids)
- Odour requirements (odourless, characteristic, deodorised)
- Particle size if relevant (D90 โค50 micron for powders)
- Any certifications required on the COA (Halal, Kosher, COSMOS)
Request the Right Quantity
Request enough for your testing protocol, plus a reserve. For formulation development, 100โ500g of a powder or 250mLโ1L of a liquid is usually sufficient for initial screening. If you need stability testing, request enough for 3โ6 months of samples across multiple storage conditions. Over-requesting signals poor planning; under-requesting leads to follow-up delays.
Ask for Documents Alongside the Sample
Always request these with your sample shipment:
- COA for the specific batch being sent
- Current SDS (within the last 3 years)
- TDS with full technical parameters
- REACH registration number (for EU market materials)
- Any relevant certifications (ISO, COSMOS, Halal, etc.)
Log and Track Your Samples
Create a sample log even if it's just a spreadsheet. Record: supplier name, material name, CAS number, grade, batch number from COA, date received, test results, and your pass/fail decision. When you eventually scale to commercial orders, this log becomes your baseline โ and if a QC issue arises later, you can trace it back to the sample batch.
Communicate Your Timeline
Tell suppliers when you expect to complete testing and when you'll need commercial quantities if the sample passes. This converts your sample request from an anonymous evaluation into a qualified sales opportunity for them โ increasing the chance you get prioritised, receive extra technical support, and get competitive pricing when you're ready to order.
